Sleekcom provides you with a way to manage your email messages at the server level.  You accomplish this by establishing rules to move or delete messages.  The following outlines in textual format how to make these rules and what they do.

The main purpose of filter rules is to deal with messages that are spam.  By default any message that is delivered to you that our servers determine to be spam will be flagged with the phrase SPAM> in the beginning of the subject line.  All messages with SPAM> in the subject line will be delivered to your SPAM folder on the server by default.  If you use Outlook Express, Outlook or some other email client that downloads messages from the server to your computer you will never receive these spam messages.  The only way to view these messages is by logging onto the server and going into your spam folder.  From time to time you may receive messages that are flagged as spam yet you want to receive in your email client.  This is where filter rules allow you to manage these messages.  For example if you receive emails from a site called auntbessiesrecipies@somedomain.com  and for whatever reason these messages get tagged as spam and go to your spam folder; with rules you can change this to make the message go to your main mailbox.  Once you have established rules for messages that are tagged as spam you want to receive you can even make a rule that will delete all other tagged messages before they are even delivered to your spam folder.  Now that we have established the purpose of rules, lets get started making them.

To access your mailbox on Sleekcom's server start by going to http://www.sleekcom.com.  In the menu bar across the middle of the page point to the EMAIL and click on SLEEKCOM EMAIL.

 

This will take you to the Sleekcom email login page.  Toward the bottom of the page you will enter your email address and password to access the server.A welcome page will open and you can click on continue or it will automatically continue after 10 seconds or so.

 

At this point you are at the main page of your mailbox on the Sleekcom server.  From this page you can read your email, check your spam box for "false positives" and set up rules to automatically manage messages.  If you click on the MAIN link you are taken to your mail mailbox on the server.  Here you will find messages that are not marked as spam.  You can read, reply, forward and delete messages from here.  If you have ever used Hotmail or Yahoo mail the Sleekcom web based mail is similar.  You view your spam folder in the same manner.  By clicking on the SPAM folder from the main page you see a listing of messages that have been tagged as spam.  Now that we have covered the basics will set up some rules.

Begin by clicking on MENU to return to the main page.  In the top right corner of the page you will see a drop down box with "ACCOUNT OPTIONS".  Click on the down arrow to drop down the items in the box.  Although there are several options here the only one we are going to cover is filters.  Click on the option FILTERS.  This will open a page where we can actually make the rules.  If you have in the past made rules you will see them listed here.  These existing rules may still apply with the new filter however we recommend you delete all and start with a fresh set of rules.

Click on the add button and a page will open where we actually make the rules.

Pay close attention here because how you set up your rule will determine how your email is handled.  Click on the drop down labeled SELECT FIELD.  Here you see your choices on what will will filter on in the email.  Using the auntbessiesrecipies@somedomain.com example we will make a rule whereby those messages are delivered to your main mailbox.  In the select field drop down select the FROM option.  Just to the right you will see two radio buttons, CONTAINS or DOESN'T CONTAIN.  Since we are adding a rule to move messages from the desired sender will choose the contains option.

Just below you will see a box labeled PHRASE.  Here is where we type in the item we want to filter on.  In our case we will type in auntbessiesrecipies@somedomain.com.  Make sure you enter the filter phrase exactly or it won't work.  Once you have typed in the phrase click on the ADD CONDITION button.  You will see the phrase has been moved to the box labeled RULES.  Although you can set up multiple filters here we recommend you make a new rule for each filter you want to establish.  This will make it easier for you to manage your rules.  After the phrase has been moved to the RULES section if you made a mistake you can remove the phrase by highlighting it and clicking on REMOVE.  We don't recommend using AND or OR since these are for making rules with multiple phrases.  For now we will assume you typed the phrase in correctly and it has been moved to the rules box.  You should see in the rules box From contains auntbessiesrecipies.com.  If you don't then you did something wrong and should start over at the beginning.  Now that we have our phrase in the rules box we need to tell the server what to do when it finds a message with that phrase.  Continuing to the bottom of the page you will see a drop down box that has MOVE THE MESSAGE TO THIS MAIL BOX:  Just under that box is another with the word new.  We need to change new to MAIN.  This tells the server to move the message to your main mailbox folder.  If you don't change this a new folder will be created called NEW and all messages from auntbessiesrecipies.com will go to that folder instead of your main mailbox.  Once you have entered all the information correctly click on FINISH.

 

You will be returned to the page listing all your rules where you will see the filter we just created listed.  If you have additional filtering just click on ADD to start making another rule.

After a while if you see that no messages you want to receive are being tagged as spam and/or you have set up rules to move any messages, you can set up a rule to delete any message with the SPAM> tag in the subject line.  We establish this rule just as we did above except this time in the SELECT FIELD option we choose SUBJECT.  In the PHRASE box we type SPAM> and add the condition.  At the bottom of the page in the FILTER ACTION drop down we choose DELETE THE MESSAGE then click on finish.  What this tells the server to do is automatically delete any message that comes in with SPAM> in the subject line.  Do not use the BOUNCE option!  This would cause any message tagged with SPAM> in the subject line to be returned to sender causing you to get flooded with even more spam!

Rules are arranged in the order they are entered number from 1 to X for the number of rules you have established.  Remember they are processed in ascending order with the first one that applies the winner.  Using our two examples above if you placed the rule to delete everything with SPAM> in the subject as Rule 1 and made the rule to move aunt bessie's email that was tagged as spam to your main mailbox as rule 2 you would never receive Aunt Bessie's email because Rule 1 won before Rule 2.  We recommend you have any rules to delete messages toward the bottom of your rule set.
